Reporting to Property Supervisor, this on-site position will be responsible for the day-to-day management of the property, including but not limited to overseeing the physical maintenance and upkeep of the property, performing various administrative and clerical tasks, maintaining positive resident relations, and adhering to all applicable governmental rules and regulations. The Resident Manager is expected to maintain BRIDGE Property Management Company’s high standards of professionalism and service in order to provide the residents with a safe, secure and well-managed living environment and to meet the property owner’s goals and objectives. Apartment included. Responsibilities Rental Activities - Follow the application process as established by BPMC in order to meet funding and legal requirements
- Ensure that vacant units are cleaned and in move-in condition within 5 days of resident move-out
- Place ads in newspapers, as directed by BPMC
- Respond to prospective residents' inquiries
- Interview and show vacancies to prospective residents
- Maintain current file of application received and regularly update the waiting lists of prospective residents
- Conduct timely and accurate background checks of applicants and recommend prospective residents for acceptance
- Work with BPMC staff to prepare leases; review leases and house rules & regulations with new residents
- Promptly and efficiently follow move-in and move-out checklist items, procedures and policies.
Rental Collections - Collect rent when due
- Execute receipts for money collected
- Serve late-rent notices, 3-day notices and collect late rent and charges
- Work with BPMC staff to keep accurate and complete rent roll, including listings by unit of gross rent potential, rent paid, late charges, nonpayment, etc.
- Make bank deposits of rents and other charges/fees received on a timely basis.
Resident Recertifications - Work with BPMC staff on the annual recertification of residents
- Ensure that recertification requirements are performed on a timely basis in order to meet the property-financing requirements. Interview residents and prepare forms for data collection
- Inform residents of the need to comply with recertification requirements and, when necessary, implement 30-day notices.
General Administration and Management - Maintain office filing system according to BPMC guidelines and procedures
- Keep inventory of office supplies and maintenance equipment and arrange for purchases as needed. Secure approval of Property Supervisor for all purchases over $50.00
- As necessary, receive invoices from all vendors and contractors, and approve work performed by vendor. Submit invoices to BPMC for approval by BPMC Property Supervisor
- Prepare and submit regular management reports for review by Supervisor and meet regularly with Supervisor to discuss ongoing management issues
- Be familiar with and understand property budget. As appropriate, recommend expenditures for potential inclusion in annual budget
- Consult with Property Supervisor regarding office procedures and systems, maintenance projects, safety, security and budget
- As applicable, collect money from laundry rooms and make bank deposits
- Handle petty cash expenditures, maintain thorough records and submit invoices
- Attend and participate in BPMC management meetings
- Conduct performance evaluations of janitor/maintenance staff and any other onsite personnel
Physical Plant and Maintenance - Receive service requests from residents during regular office hours. Ensure requests are addressed on an on-call basis, to extent possible. Inform resident of any delay
- Remain on call on a 24-hour basis to receive emergency service requests and authorize, with Property Supervisor approval, emergency repairs
- Assign and supervise routine work of janitorial and/or maintenance staff, and inform supervisor of concerns and issues
- Supervise work of landscaping, exterminators, and other contractors, and inform supervisor of concerns and issues
- Obtain bids for performance of special maintenance or repair work, and consult with supervisor in selection of vendor and supervision of outside contractor work
- Conduct regular weekly inspections of common and storage areas, building exterior and grounds, records deficiencies, and take appropriate action to improve the general appearance of the property
- Conduct annual apartment inspections and follow up on service needs identified during such inspections
- Participate in walk-throughs with supervisor and/or other BPMC staff to assess maintenance and condition of the property
- Keep current records of equipment inventory
- Analyze maintenance operations and suggest methods to improve service and reduce costs
- Analyze and suggest ways to improve service to residents
- As needed, perform maintenance and janitorial tasks
Resident Relations - At initial occupancy, welcome new residents, explain rental payment procedures, house rules, fire and safety procedures, and outline other concerns and issues specific to property and/or the resident
- Be available to residents during normal business hours for discussion of problems, concerns, complaints, and other issues. At all times, the Resident Manager focuses on maintaining a balance between the residents' concerns and the property’s needs
- Organize, conduct and participate in regular resident association meetings
- Facilitate the organization of regular informational meetings from local community agencies and providers
- Produce a monthly newsletter and/or calendar highlighting topics of interest to the residents
- Work with local service organizations in the provision of services appropriate to the property
- Be responsive to resident needs and issues for services and support while maintaining BPMC goals and objectives
